Job Posting: Administrative Support Coordinator

The United Riders of Cumberland is a registered non-profit society that advocates for mountain biking through:

  • building and maintaining trails;
  • hosting mountain bike events;
  • encouraging mountain biking in youth;
  • facilitating group rides;
  • encouraging the positive spirit of mountain biking in the community; and,
  • fostering positive working relationships with landowners;
  • working with other community groups, agencies, societies, and organization’s sharing similar purposes.

About the Position

The United Riders of Cumberland is seeking applications for an administrative support coordinator. Reporting to the Executive Director the successful candidate’s responsibilities will include supporting existing and evolving programs, communications, preparing briefs, summaries, and reports, and managing calendars. Specifically, it may include the following:

Sponsorship, Fundraising, Donations, Merchandise and Membership

Assist with developing and updating annual sponsorship packages and maintaining relationships with ongoing sponsors. Assist with fundraising activities and the donations program. Track and provide quarterly financial summaries, as they relate to sponsorship, fundraising, donations and merchandise, and membership income and expenses. Organize and mail out premium memberships and sponsorships packages. Assist with UROC merchandise procurement and sales. Assist with membership sales and increasing membership numbers.

Communications Strategy Implementation

Assist with development of communications content and organization and maintenance of all media and social media platforms, including newsletters, posts, photos, videos, outreach messages, reports to members, etc. Develop draft communications materials including presentations and other materials as required for sponsorships, funding, grants and internal and external UROC presentations.

 Meeting Preparation

Assist in preparing briefing notes, analysis, and recommendations. Track, update and refine actions in UROC operational and governance calendars to ensure task progress is accurately tracked and communicated, and tasks are on track to meet deadlines.

Health and Safety

Assist with regularly updating the UROC workers health and safety plan for trail crew and events staff to ensure it meets current WorkSafe BC requirements. Ensure incidents are reported, followed up on, and tracked as per requirements. Potentially support with event specific safety plans.

 Events and Outreach

Assist with coordinating and administering programs such as CCSS after school rides, women’s rides, Fiver races, Gravity Nines race, car park days, and other programs and events. This may include development of work instructions/ handbooks for how to execute these events. 

Trail Network Data Management/ Administration duties

Assist with managing trail data relating to key performance information including trail use stats from trail counters, in kind support/ volunteer hours. Compile trail data reports as needed. Maintain accurate volunteer, sponsor, and partner contact lists.

Applicants must:

  • Have a valid Class 5 drivers licence and access to a reliable vehicle;
  • Be familiar with the Cumberland Trail Network;
  • Have excellent personal time management skills;
  • Be very organized, excel at maintaining and developing organizational tools that can easily be contributed to or adopted by others;
  • Be a self starter, able to organize and efficiently execute their daily schedule, based on shifting priorities;
  • Be able to both work in a self-directed manner, and take direction;
  • Excellent communication skills and can easily work with a variety of personality types, a team player; and
  • Be a UROC member.

Additional information about the position

The time commitment for this position will average one day per week throughout the year. However due to the seasonal nature of the work, hours may vary and require more work in the spring and summer and less in the fall and winter.

The successful candidate will work from a home office location.
